EHR billing
EHR billing services in the system you already use
We bill inside your existing EHR, so you do not have to change software. Our team works in SimplePractice, TherapyNotes, Tebra (Kareo), AdvancedMD, Valant, Osmind, athenahealth, DrChrono, eClinicalWorks, Office Ally and others. You give us our own user access, and we handle claims, payments, denials and A/R from there.
- No new software and no data migration
- Our own logins, so you control access
- Claims out within 24 hours of receiving charges
- Signed BAA with every client
EHRs we bill in
EHRs and practice management systems we work in
We work inside each of these systems every day. We are not an official partner of any EHR vendor, and the names below belong to their owners.
SimplePractice
We work from your SimplePractice account to submit claims, post ERAs, manage superbills and follow up on denials. SimplePractice offers its own managed billing for in-network claims; if your practice needs more, such as out-of-network claims, credentialing or deeper A/R follow-up, we can handle it.
Learn more →TherapyNotes
We work in TherapyNotes billing to review charges, send claims through its clearinghouse tools, post payments and work rejections and denials for therapy and psychiatry practices.
Learn more →Tebra (Kareo)
We work in Tebra, formerly Kareo, for charge entry, claim submission, payment posting and A/R follow-up, using the practice’s existing setup and fee schedules.
Learn more →AdvancedMD
We work in AdvancedMD to enter charges, scrub and submit claims, post remittances and follow up on open A/R for single-provider and group practices.
Learn more →Valant
We work in Valant, a behavioral health EHR, to handle claims, payment posting and denial follow-up for psychiatry and therapy practices.
Learn more →Osmind
We work with psychiatry practices on Osmind to submit claims, post payments and follow up on denials and A/R, alongside the tools the practice already uses.
Learn more →athenahealth
We work in athenahealth to review claim holds, work denials and follow up on unpaid A/R, in coordination with any billing services the practice already has in place.
DrChrono
We work in DrChrono for charge review, claim submission, ERA posting and denial and A/R follow-up.
eClinicalWorks
We work in eClinicalWorks for charge entry, claim submission, payment posting and A/R follow-up for medical and behavioral health practices.
Office Ally
We work in Office Ally’s practice management and clearinghouse tools to submit claims, track rejections, post payments and follow up on A/R.
Using a different system? Tell us which one. We have worked in many others and will confirm before you sign.
How it works
How we bill inside your EHR
We start from your current setup and keep your data where it is.
- 01
Access
You create user accounts for our team in your EHR and clearinghouse, with the permissions you choose. We sign a business associate agreement first.
- 02
Setup review
We check provider details, NPIs, taxonomy, payer IDs, fee schedules and claim settings, and fix anything that causes rejections.
- 03
Daily billing
Your providers finish notes as usual. We review charges and submit claims within 24 hours of receiving them, then post payments as ERAs arrive.
- 04
Denials and A/R
We work every denial within 5 business days and follow up on unpaid claims until they are paid or closed.
- 05
Reporting
You get monthly reports on collections, denials and A/R, using data from your own system.
Beyond built-in tools
What we add on top of your EHR’s billing features
An EHR gives you billing tools. Someone still has to use them every day. That is the part we do.
- Coding review of E/M levels, psychotherapy add-ons and modifiers before claims go out
- Payer-by-payer telehealth rules for place of service and modifiers
- Denial correction, resubmission and appeals, including complex and older denials
- A/R follow-up by phone and portal on claims that stall
- Out-of-network claims and patient statements
- Credentialing and CAQH upkeep, so claims pay in-network
Switching
Changing EHRs? We can help with the billing side
If you are moving from one EHR to another, we keep billing running in the old system until its A/R is worked down, while setting up payers and claim settings in the new one. That way old claims are not forgotten when the new system goes live.
Billing starts at 2.5% of collections, with a flat monthly fee or dedicated staff also available. No long-term contract is required.
Common questions
Do I need to switch EHRs to work with you?
No. We bill inside the EHR you already use, including SimplePractice, TherapyNotes, Tebra (Kareo), AdvancedMD, Valant, Osmind, athenahealth, DrChrono, eClinicalWorks and Office Ally.
Are you an official partner of these EHRs?
No. We are an independent billing company. We work in these systems as a user, with access you grant, and the product names belong to their owners.
I use SimplePractice. Why would I need a billing company?
SimplePractice’s own managed billing covers in-network claims. Practices that also need out-of-network claims, credentialing, complex denials or deeper A/R follow-up, or that want a dedicated team, can work with us instead or alongside it. Check your plan with SimplePractice for current details.
How do you get access to my EHR?
You create user accounts for our team with the permissions you choose. We sign a business associate agreement first, and you can remove access at any time.
Can you work in an EHR that is not on your list?
Often, yes. Tell us which system you use, and we will confirm before you sign anything.
Will you change my EHR settings?
Only with your approval. In the first weeks we review provider, payer and claim settings and tell you what to change and why before we change it.
Find out what your claims are leaving on the table
Tell us about your practice. We will review 90 days of claims and show you what is recoverable, at no cost.
