Who we help
Private practice billing for independent clinicians
We work with clinicians who run their own practice, whether you are opening your doors, adding insurance for the first time or tired of doing billing after hours.

What makes billing harder in a solo practice
A solo practice has the same payer rules as a large group, but only one person to handle them.
You are the billing department
Every hour spent on claims, calls and denials is an hour you are not seeing clients or resting.
Every unpaid claim matters
With one caseload, a few denied or forgotten claims can make a real difference to your monthly income.
Your setup affects how you get paid
Your NPI, taxonomy, tax ID and business type (for example a PLLC) must match across every payer, or claims are denied.
Credentialing comes first
You cannot bill a payer as in-network until you have a signed contract and an effective date.
Time off still needs coverage
Claims, payer letters and deadlines keep coming when you take a vacation or a sick day.
Rules change often
Telehealth, code and payer policy updates are easy to miss when you are seeing clients all day.
What we handle
Everything between the session and the payment
- Benefits checks before the first session, including copays, deductibles and behavioral health carve-outs
- Charge entry from your EHR, such as SimplePractice or TherapyNotes
- Claim submission within 24 hours of receiving charges
- Payment posting and ERA reconciliation
- Secondary insurance billed after the primary pays
- Denial correction, resubmission and appeals within 5 business days
- A/R follow-up on unpaid and underpaid claims
- Superbills for out-of-network clients
- Client statements and balance tracking in your own system
- A monthly report on collections, denials and A/R, in plain language
Opening a practice
Starting a new private practice with insurance
Start about 90 to 120 days before you want to see insured clients. Credentialing is usually the longest step.
- 01
Set up your NPI and business details
Your individual NPI with the right taxonomy, and your tax ID. If you formed a PLLC or LLC, some payers also want a group NPI and contract.
- 02
Complete your CAQH profile
Most commercial payers read your CAQH ProView profile, so it must be complete, current and attested.
- 03
Apply to the payers you want
We submit applications and follow up every week until you have a contract and an effective date. Credentialing starts at $80 per payer, and 5 commercial payers are credentialed free with billing.
- 04
Connect your EHR and clearinghouse
We set up claims, ERA and EFT for each payer inside the systems you already use.
- 05
Send your first claims
Once a payer’s effective date arrives, we start billing it and track every claim until it is paid.
Timelines vary by payer and state. See how long credentialing takes, by payer.

Billing starts at 2.5% of collections, so your cost goes up and down with your caseload. A flat monthly fee is also available. No setup fee and no long-term contract.
Common questions
Is outsourcing billing worth it for a solo practice?
Often yes, if billing takes several hours a week, claims sit unpaid or denials go unworked. A billing service handles claims, denials and follow-up so you spend that time with clients. Because our pricing starts at a percentage of what we collect, the cost scales with your caseload.
Do you work with brand-new private practices?
Yes. We can credential you with payers before you open, set up claims in your EHR, and start billing as soon as each payer’s effective date arrives. 5 commercial payers are credentialed free when you sign up for billing.
Do I need a group NPI as a solo clinician?
Not always. Many solo clinicians bill under their individual NPI. If you formed a PLLC or LLC and bill under its tax ID, some payers also require an organizational (group) NPI and a group contract. We check what each payer expects before you apply.
Can you bill for an independent PMHNP?
Yes. We credential and bill for psychiatric nurse practitioners in their own practice, including E/M visits with psychotherapy add-ons and telehealth. State rules such as collaborative or supervision agreements affect credentialing, so we confirm them first.
Will I still use my own EHR?
Yes. We work inside SimplePractice, TherapyNotes and most other EHRs, so client information stays in your own system and your workflow does not change.
How long does it take to switch billing to you?
Most solo practices are set up and sending claims within 5 working days of signing the agreement and BAA and giving us access to the EHR and clearinghouse.
