Inside TherapyNotes
What we handle for you in TherapyNotes
TherapyNotes is widely used by behavioral health groups, from a few therapists to practices with prescribers and supervisees. Its billing tools work best when someone checks every claim and every remittance.
Charge review
We check each session’s code against the note: psychotherapy time for 90832, 90834 and 90837, and E/M with add-ons for prescribers.
Electronic claims
We submit claims electronically, watch for rejections and fix them the same day.
Remittance and posting
We post ERAs and paper EOBs, apply adjustments correctly and clear unapplied payments.
Group setup
We make sure rendering and billing providers, group NPI and taxonomy are set correctly for every clinician.
Supervisees
We check how pre-licensed clinicians’ sessions are billed, because payer rules on supervision differ and mistakes lead to take-backs.
Denials and A/R
Denials are worked within 5 business days, and aging claims are followed up weekly.
Common problems
TherapyNotes billing problems we fix most often
The software is rarely the problem. Settings, payer enrollment and daily follow-up are.
| Problem | Why it happens | What we do |
|---|---|---|
| New clinician’s claims all deny | Clinician billed before being credentialed or linked to the group contract | Check credentialing status before the first session |
| Wrong provider on the claim | Rendering vs billing provider set up incorrectly | Correct provider setup for each clinician and payer |
| Unapplied or duplicate payments | Remittances posted to the wrong claim or not matched | Reconcile deposits against remittances monthly |
| Supervisee claims taken back | Payer does not allow billing under the supervisor for that plan | Follow each payer’s supervision rules before billing |
| 90837 audits | Session times not documented | Check start/stop times before claims go out |
Growing groups
Adding clinicians without losing a month of claims
The most expensive moment for a group practice is a new clinician’s first month. If they see clients before they are credentialed and linked to your group contract with each payer, every one of those claims can deny. Most payers take 60 to 120 days, so credentialing should start when the offer letter is signed, not on the first day.
We track each new clinician payer by payer: CAQH profile, application, contract, effective date, and the provider setup in TherapyNotes. You get a weekly status update, and we tell you which clients a new clinician can see in-network and from when. See group practice billing and insurance credentialing.

Common questions
Do you work with group practices on TherapyNotes?
Yes. Group practices are a large part of our work: many clinicians, a group NPI, new hires joining often, and payer rules for each.
Can you bill for psychiatric prescribers in TherapyNotes?
Yes. We code E/M visits with psychotherapy add-ons (such as 99214 with 90833) and check that psychotherapy time is documented separately.
Will you change my TherapyNotes settings?
Only with your approval. We review your setup first and explain what should change and why.
Are you a TherapyNotes partner?
No. We are an independent billing company and work in TherapyNotes as a user, with access you control.
